INTRODUCTION TO COMPUTER AND BASIC MICROSOFT WORD PROCESSOR PROGRAM


THINGS TO REMEMBER IF YOU NEED HELP:

1. Know what Operating System you are using (i.e., XP, Vista, Windows 7 ).
2. Note what Program you were using when you ran into trouble.
3. Note what you were trying to accomplish when you ran into trouble.
4. If error message appear, write it down to relate to person who is trying to help you.

GENERAL NOTE: Do not click on my computer or windows explorer icons and
delete any program files until you become familiar with your computer. Deletion of files can cause all sorts of problems making it very difficult to ascertain what is wrong with the computer.  These is only one way in which to DELETE a program; that is in the Control Panel.
This method should only be performed by experienced users of the computer.



        COMPUTER TERMS


OPERATING SYSTEM - Example of Operating System is XP, Vista, Windows 7 etc.

START BUTTON - Use Start Button to open a program, go to different areas in the computer system, see settings, shutting down computer, etc.

DESKTOP - Screen you see when the computer starts up; usually ICONS containing the frequently used programs.  

ICON - Is an image of the program or application.

VERSION - To learn what version of a program you are using, go to Help on the toolbar and click on About.

MOUSE Use left mouse button to click on icons, select something or to place the cursor. Use right mouse button to bring down a menu for performing an action.

CURSOR To get to a specific location with the cursor you use the mouse to point to the location you want and press the left mouse button or you can use the arrow keys to move to the location. The cursor has several appearances, either an arrow or "I" appearance or a blinking line. The blinking cursor is an insertion point. You must click with left mouse button to get a blinking cursor.

DEFAULT: A setting or value that the computer automatically uses, set by the computer's manufacturer. You can change these default settings to suit YOUR needs.

            BARS

TITLE BAR - The Title Bar is the dark blue bar located at the top of the screen or window. This Title Bar will tell you the name of the program you have open. Also is the location for minimize, maximum and exit buttons.

MENU BAR - A Menu Bar displays a list of commands that are instructions to software. Most menus are located on the menu bar at the top of the screen or window. File, edit, view, insert, format, tools, table, window, help.

TOOL BAR - A Tool Bar is located under the Menu Bar at the top of the screen or window. Tool bars provide shortcuts to menu commands. Standard and Formatting tool bars usually always are showing by default.  To view a list of Toolbar available for use, go to VIEW, and click on Toolbars. Click on the toolbar you wish to use.  Get familiar with the many options each offer. 

RULER BAR The Ruler Bar is located under the main tool bars. The ruler is used to change the format of your document quickly.

STATUS BAR - The Status bar appears at the very bottom of the screen and provides such information as the current page, current section, total number of pages, inches from the top of the page, current line number, and current column number.  

SCROLL BARS - Located on right and left of screen. Small shaped arrows.

SETTING OPTIONS To turn on the Status Bar, Horizontal scroll bar, Vertical Scroll Bar, nonprinting characters, and the recently used file list

1. Click on Tools; highlight Options; Press Enter.

2. Click on the View tab.

3. In the Window frame need checkmarks next to Status, Horizontal Bar, and Vertical Scroll Bar.

4. Click on the General tab.

5. Check to see that there is a checkmark next to the Recently Used File List.. Check to see if there is a number in the Entries box - at least four.

6. Check to see that Inches is selected in the Measurement Units box (this sets the unit of measurement for the ruler).

7. Click on OK to close the dialog box.


BASIC MICROSOFT WORD PROCESSOR PROGRAM

HOW TO CREATE A DOCUMENT IN MICROSOFT WORD:

1. On Desktop, click twice on Word icon.

2. On blank screen, click on File on Menu Bar, slide cursor to New and slide cursor to Blank Document.

3. A blank page will be loaded so begin typing your document.

EDITING A DOCUMENT:

Highlighting Text: Many times before editing a document you will have to highlight the text.

Using F8 and Arrow Keys

1. Place the cursor before or after the text you wish to highlight and click the left mouse button.

2. Press the F8 key, which will serve as an "anchor" showing where text you wish to highlight begins or ends.

3. Press the appropriate arrow key (left arrow to move to the left, or right arrow to move to the right) until the text is highlighted. You can use the up or down arrow key to highlight one line at a time. Press Esc to remove the anchor.

Using the Mouse

1. Place the cursor before or after the text you wish to highlight.

2. Hold down the left mouse button.

3. Move the mouse left, right, up, or down until the text is highlighted.


Delete Keys:

1. Place cursor AFTER the character and press BACKSPACE Key.

2. Place cursor BEFORE the character and press DELETE Key.

3. To delete a word or phrase, place cursor in front of word/phrase you want to delete and hold down left mouse button and drag to highlight the words/phrase. After highlighting, release button, press delete key.

Bold: Highlight word/phrase and click on "B" on Tool bar

Underline: Highlight word/phrase and click on "U" on Tool bar

Margins:

1. On Menu Bar, click on File - Click on Page Setup

2. Using arrows in Margin boxes, decrease or increase margins

3. Click on OK button

Using Ruler Tabs and Tab Key:

1. Move cursor to Ruler and click on ruler where you want the Tab

2. Press tab key when you want to indent a line

3. For a Hanging Indent: Hold down CTRL key and press T key

4. To delete the Tab pull the Tab down onto the screen

5. Tabs hanging, indent, left, right, center, decimal, bar

Page Break:

1. Word will automatically break at a 46 line page if your top and bottom margins are set at .5

2. To set a Hard Break or manual, hold down the CTRL key and press the Enter key.

Center/Left/Right Alignment of Document:

1. To center text before you type anything, click on the Center Text button located on Tool Bar and text will be centered as you enter text.

2. To center text that has already been typed: Highlight word(s) you want to center by holding down left button on mouse and drag over word(s) you want to center. Click on Center Text button located on Tool bar.

3. Repeat step 2 for left or right alignment only click on Left Text button or Right Text button located on Tool bar


HOW TO COPY/MOVE AND PASTE:

1. Highlight the word(s) you want to copy or move.

2. On Menu Bar, click on Edit then click on Copy

3. Place cursor where you want to place copied text and click once to get a blinking cursor

4. Click on Edit on Menu Bar and then click on Paste



HOW TO SAVE AN UNNAMED DOCUMENT:

1. Click on File on Menu Bar and then click on Save

2. Determine where you want to save the document, for example, save it in My Documents folder. When a dialog window appears, the Save In area will say My Documents.

3. The File Name box is where you give the document a name

4. The File Type area indicates how it will be formatted and to what extension. A Word document's extension is
always .doc unless you change it. Click on Save button

Note: Save as a Rich Text Format for more compatibility with other word processing programs


HOW TO OPEN A NAMED DOCUMENT:

1. On Menu Bar, click on File and then click on Open.

2. In Open Screen, look at the Look In box and select which folder you saved your document in.
Example My Documents folder.

3. Select the document from the list.

4. Click Open button.


HOW TO SAVE A PREVIOUSLY NAMED DOCUMENT

1. After editing a document, On Menu Bar, click on File

2. Click on Save and the document will be saved to wherever you originally save it to.



HOW TO SAVE A UNNAMED DOCUMENT TO A FLOPPY

1. Insert Floppy disk in A: drive. On Menu Bar, click on File

2. Click on Save

3. In Save In box, click 3-1/2 floppy (A:)

4. In File Name box, type the name you want to assign your document

5. Click on Save button


HOW TO OPEN A DOCUMENT FROM A FLOPPY

1. Insert Floppy disk in A: drive.

2. On Menu Bar, click on File and click on Open

3. In Look In Box, make sure it says 3-1/2 floppy (A:) then from list of documents, highlight document you want to pen, and click on Open button


HOW TO CLOSE A DOCUMENT

1. On the Menu Bar, click on File and then click on Close

2. A message appears asking if you want to save the changes made to the document. This message appears if you have not saved recently to the disk and have made changes after your last save command. If you have
not made any changes to the document after your last save command, then this message will not appear.

3. Click on Yes

HOW TO PREVIEW A DOCUMENT BEFORE PRINTING

You may want to preview your document before you print it to see how it looks or how many pages it contains. It is always wise to preview a document before you print it.

1. On Menu Bar, click on File

2. Click on Print Preview. Once document appears, you can view as is or enlarge it by clicking on percent box to enlarge the document. Click on Close button if you want to return to your document

3. If you want to print from the Preview Print Menu, press the Printer icon located on Tool bar.

4. When you print from Preview Print Menu, you do not have the option to print certain pages.


HOW TO PRINT

1. On Menu Bar, click on File and then click on Print. Print dialog box pops up. You have options on what to print in the Page Range boxes:

2. To print entire document, the All circle is automatically selected and you just click on OK

3. To print certain pages in a multi-page document click in Circle on Pages and then type in the page number you want to print

4. To print in black ink, click on Properties button and select Black ink. Click Ok button.

HOW TO USE SPELLCHECK

1. Place cursor at the beginning of a document by clicking once.

2. On Menu Bar, click on Tools

3. Click on Spelling and Grammar

4. Make changes or corrections

5. Click on OK when Spell Check is completed



HOW TO USE THE HELP KEY

The help Menu contains a wealth of information on many topics concerning the programs you are working in and the technical aspects of the computer. Use it frequently if you need assistance with a problem. The Help Menus are always available.

1. On Tool bar, click on Help key

2. Click on Search for Help On

3. Type in the name of the topic you are searching for or just a few letters of the topic.

4. Once the topic comes up, click on Display button

5. You can also press the F1 key for help or

6. Engage Clipit (the little paperclip with eyes) and type in whatever term you need help with. To engage Clipit select Help from the Menu Bar, select Office Assistant. To deselect Office Assistant select Help from Menu Bar and select Hide Office Assistant.


IF COMPUTER FREEZES UP

If your computer freezes up and you are unable to exit from a program by clicking on the (X), try this:

1. Simultaneously hold down the CTRL and ALT keys and hit Delete key. A Close Program window appears.

2. Highlight the name of the program that is not responding by clicking on it.

3. Click on the End Task button and wait a few minutes.

4. Another End Task window will appear and then click on OK.

5. In the event the above doesn't work you will have to manually turn off your computer which would be the last resort.



HOW TO TURN OFF YOUR COMPUTER:


1. On Desktop, click on Start button located at bottom left of screen.

2. Click on Shut Down

3. Choose Shut Down and click OK button.


Note: To prevent problems with your computer, Always turn off your computer using this procedure
